Accessing SOCS Co-Curricular

Log in to your SOCS Control Panel and the SOCS Co-Curricular module will be active.

Click on the SOCS Co-Curricular button.

Setting Up Activity Clubs

You will see the main menu on the left and the daily calendar on the right. This should currently be empty, although there may be information being pulled into the system from SOCS Sport.

Your co-curricular activities have been added to SOCS. To complete the set-up of the system there are a few tasks to perform for each activity.


1.  Firstly, you will need to turn your activities on/off.

To do this, click the “Activities – Master List” button in the left-hand menu. This shows all the activities available at the school. From here you can switch activities on or off for the current term. Click on a category to expand it, and then toggle the activities on/off. Anything that you switch on in here will become available in the “Active Activities section.

2. You will now need to build the rules for each activity.

Click “Active Activities” in the left-hand menu. Your categories and activities for the current term will appear here. To add the rules, click a category and the activities within this category will appear. Click on the pencil icon for each club and build the rules. The rules of each activity will guide the future allocation of students and affect how the activity behaves.

3. Schedule Each Activity Club.


Within the “Active Activities” tab, open a category and click the calendar icon for each activity and schedule the events. You can add as many single or recurring events as you want.

Use the buttons at the top to add single or recurring events.

You can then add the event details, recurrence pattern and recurrence date range. If you choose “Weekly,” the activity will occur every week on the days you have selected. If the activity occurs every other week on a Monday for example, you will need to use the “Bi-Weekly” option instead and tick ‘Monday.’


We have added your term dates, with the start date being your first day of term. This allows activities to be scheduled in term time only and will automatically skip half terms. If you would prefer for activities to be scheduled during half term, untick the box at the bottom ‘Term time only.’ You can change the recurrence date range if you would prefer activities to start earlier or end later.


Click the "Delete All Events" button at the bottom of the club timetable list if you would like to delete all recurring events. 

4. Add Staff and Pupils to Each Activity.


Adding pupils to activities can be performed in several different ways. You can add pupils to the activity, or you can add activities to the pupil. Alternatively, you can allow pupils to add themselves to an activity, or parents to add their children to an activity.


Method 1

Adding pupils to an activity - use this method if staff members leading an activity want to add one or more pupils to their activity, club or society.

Click the “Active Activities” tab on the left-hand side. Click on a category and then click on the “Edit pupils and staff” button for an activity club. This is the third button under “Editors.” Select a year group or house and add the pupils to the activity. Alternatively, you can use the search function to search for pupils. Click on the pupil’s name to add them to the activity. Likewise, click “remove” to remove them from the activity. 



Method 2

Adding activities to a pupil - use this method if staff members in charge of a tutor group, form or house want to assign activities to an individual pupil.

Click the “Pupil & Staff Search” tab and search for a pupil. Find the relevant pupil and click “Activities”. Alternatively, click “Houses” or “Forms” under “Pupil & Staff Search” and continue to add activities the same way as above.



You can then edit the activities assigned to a student by selecting a category and adding the activity to “Selected Activity Clubs.” Only activities available to that year group will appear as options.



Method 3

Parents/pupils can sign up for activities by logging in to the co-curricular system. Before they can do this, they will need to have their login credentials created and you will need to activate the pupil sign-up window.

Adding Staff to an Activity

There are two ways to add staff to activities.

You can add activities to a member of staff the same way you add activities to a pupil (See Method 1 above). Instead of searching for the surname of a pupil, you will search for the surname of the member of staff.


Alternatively, you can add staff to an activity the same way as in Method 2 (see above).


Co-Curricular Staff Users

As a main user, you can grant other users permission to use SOCS Co-Curricular. To do this go to SOCS Co-Curricular and then click “SOCS Co-Curricular Users” in the left-hand menu. You can then add new users by clicking “Add a User.”


Once you have built the rules of each activity, scheduled the activity, then added the pupils and staff to the activity, you can start to use the daily calendar and begin to take registers. When you log into SOCS Co-Curricular you will now see that the day view lists the activities happening that day, and from there you can quickly take the register, view activity details and the timetable.

When you visit SOCS Co-Curricular on a mobile phone you will be taken to the Mobile Web App. The Mobile Web App is specifically designed for phone users and the small screens found on phones. You can save the Mobile Web App as an icon to your mobile device's home screen for ease and it will operate and behave like a mobile app. This means that staff can easily take registers on their phones.
